Please Note-- Effective January 1, 2008, the monthly pre-tax spending limit for transit and vanpools will increase from $110 to $115.  The monthly pre-tax spending limit for parking will increase from $215 to $220.  Our website has been updated to reflect the new limits.

The University offers this salary reduction transit program to help you pay for commuting expenses. Because you can pay for up to $115 a month for the T-Pass, passes on alternate carriers and vanpools and up to $220 a month for parking reimbursement on a pre-tax basis you are able to save money on your commuting costs. In addition, home delivery of your pass provides extra convenience.

Who can use this program?

If you work in a regularly scheduled position, not dependent upon student status, at least 17 ½ hours per week you are eligible to participate in this program. You must also use public transportation or pay for parking as part of your commute to work to participate in this program. You may purchase transit and parking benefits under this program only for your commute. You may not purchase benefits for the commute of a spouse or other dependent.

How does the pre-tax benefit work?

You do not have to pay income or employment taxes on wages committed to purchasing passes or parking reimbursement. With average expenditures of $65 per month, you could save over $200 per year from this pre-tax benefit.

Are there limits on the amount I can contribute on a pre-tax basis?

Yes, for T-Pass and transit expenses, there is a $115 per month cap on pre-tax expenses. The limit is $220 for parking costs. If you park and use the T or other public transit, your deductions may include both benefits, up to the limits of each. For instance, you may purchase a T-Pass for $65 per month and $120 worth of parking reimbursement for a monthly pre-tax benefit of $185.

Which transit systems are covered by passes?

The MBTA (bus, subway, rail and ferry) as well as a number of other transit and vanpool systems are covered. Check the WageWorks web site for a full list.

How are my parking expenses covered?

Your parking expenses may be covered in two different ways. If you have a monthly parking contract, you can select Pay My Parking. WageWorks will send payment directly to your parking facility each month. If you don’t have a monthly contract, you may be reimbursed for your parking expenses. Your monthly election amount will be deducted from your paycheck on a pre-tax basis and then used to reimburse you for parking costs. Reimbursement instructions are on the WageWorks website and in the website instructions.

How do I enroll in the program?

Enroll at www.wageworks.com or call 1-877-924-3967. Instructions on using the enrollment web site follow. You must enroll by the 1st of the month before the month you wish to receive the benefit (for instance, you must enroll by April 1 for the May pass). Once you enroll in the program you will continue to receive your order each month until you end your participation.

How do I make changes in/or end my participation in the program?

Return to the website at www.wageworks.com or call WageWorks at 877.924.3967 or contact WageWorks by e-mail at help@wageworks.com. All changes must be made by the 1st of the month before the month you wish to end or change participation (for instance, you must make a change or termination by April 1st to change/stop your May pass).

How will I receive my pass?

The material will be sent to your home address via first class mail. It will be mailed to the home address you have on file in the WageWorks web site.

If you do not receive your pass by the end of the month, call WageWorks at 1-877-924-3967 between the first and third day of the month.

How do I keep my address up-to-date with WageWorks?

You must keep your address up-to-date in the WageWorks web site. If you do not use the internet, call WageWorks Customer Service at 1-877-924-3967. Since passes are prepared for mailing one month in advance, your address must be correct on the first of the prior month. For instance, your address must be up to date by April 1st for your May pass. If you are moving, you should also notify the US Postal Service of a forwarding address.

Also, please remember to keep your e-mail address up-to-date in the WageWorks web site.

What happens if I do not receive my pass?

If you do not receive your pass, you must report the loss to WageWorks by e-mail or telephone no later than the 3rd weekday of the month for which the pass is effective. WageWorks will reimburse you for the cost of a replacement pass upon receipt of documentation of your expense. Required documentation includes: a receipt as proof that you purchased a replacement pass, a completed Affidavit for a Lost Pass. WageWorks must receive the documentation by the 10th of the month that the pass is missing or late. WageWorks will reimburse you for a maximum of two passes.

Instructions for use of the WageWorks website

Visit the WageWorks website to access forms or account information, update your address, and to enroll, change or cancel your benefit online.

Note: New employees who start before the 15th of the month can go into the website anytime after the 15th of the month unless the 15th is a Saturday or Sunday in which case new employees can enter the following Monday. New employees who start between the 15th and 30th of the month can enter on the 30th. If you are a new employee and cannot gain entry to the website, please contact Suffolk’s Human Resources Office at extension 8415.

If you are moving from the Sodexho system to the WageWorks system, use the same passwords you used with the Sodexho system.

  • Go to http://www.wageworks.com/ and click on First Time User? Register Now (if you are a new employee or do not already have an account with Sodexho or WageWorks)
  • Enter the information requested
  • Confirm or update the contact information in your profile
  • Review the User Agreement and Confirm your acceptance
  • Select the Commuter tab to view information about that program

Order Your Public Transportation Pass Online

Indicate the pass you need and it will be delivered to your home each month.

  • Click on Place Commuter Order
  • Choose Public Transportation
  • Select your service provider
  • Select your pass
  • Every Month is automatically selected, you receive this pass automatically each month until you change or cancel your order.
    If you only want the pass for one month, select One Month Only
  • Confirm or update contact information
  • Place your order

WageWorks will mail your pass so you receive it the week before you need it.

If your pass is not available on the website, then you may be eligible to receive reimbursement for your expenses. If you can’t find what you’re looking for, simply follow the links to enroll for Pay Me Back.

The amount you select (up to $110, the pre-tax limit for public transportation and vanpool) will then be deducted from your paycheck each month until you change or cancel your Pay Me Back election.

To be reimbursed, print a Pay Me Back form from the web site, complete it and submit it with your receipts by fax or mail. If you do not have receipts, file a claim online via the web site.

Choose Your Vanpool Benefit Online

Indicate which vanpool you ride in and you will receive a voucher at your home each month or pay your vanpool operator directly. Follow the instructions below.

Order your Vanpool Voucher

  • Click on Place Commuter Order
  • Choose Vanpool
  • Select your vanpool operator and enter the dollar amount desired
  • Select Every Month to receive this voucher automatically each month until you change or cancel your order
  • Confirm or update your contact information
  • Place your order

WageWorks will mail your voucher so you receive it the week before you need it.

Enroll for Vanpool Pay Me Back

You can also choose to get reimbursed for your expenses by enrolling for Pay Me Back.

  • Click on Place Commuter Order
  • Choose Vanpool
  • Click Can’t find what you’re looking for?
  • Enter the dollar amount and the name of your vanpool provider
  • Select Every Month to repeat this order automatically each month until you change or cancel your order
  • Confirm or update contact information
  • Place your order
  • Your election amount will be deducted from your paycheck pre-tax and then used to reimburse you for your vanpool costs after you file a claim
  • To get reimbursed, print a Pay Me Back form from the website, complete it and submit it with your receipts by fax or mail. If you do not have receipts, you can file a claim online via the website

If you Park and Ride

If you ride public transportation AND pay to park your car at or near the transit station, you can enroll for both public transportation and parking benefits. You may receive pre-tax benefits up to $110 a month for public transportation and up to $215 for parking for a total of up to $325 in commuter benefits.

Choose Your Parking Benefit Online

Choose between having WageWorks pay your parking garage or lot directly on your behalf or having WageWorks reimburse you for your parking expenses each month.

Select Pay My Parking

If you have a monthly parking arrangement, then you can select Pay My Parking. WageWorks will send payment directly to your parking facility each month.

  • Click on Place Commuter Order
  • Choose Parking
  • Indicate that you have contracted space that you pay for monthly and enter or search for your parking facility
  • Select your parking facility payment or facility address
  • Provide WageWorks with your payment and account information
  • Select Every Month to have WageWorks pay your parking facility each month until you change or cancel your order
  • Confirm or update contact information
  • Place your order

WageWorks will send your payment directly to your parking facility approximately ten days before each benefit month for which you are enrolled. The net cost of your parking will be deducted automatically from your paycheck each month, the first $200 in benefits on a pre-tax basis and the remainder on an after-tax basis.

Or, Get Reimbursed For Your Parking

If you don’t have a standard monthly parking arrangement, then you can get reimbursed for your parking expenses.

  • Click on Place Commuter Order
  • Choose Parking
  • Tell WageWorks how you pay for parking
  • Enter the amount you pay each month
  • Select Every Month to repeat this order automatically each month until you change or cancel your order
  • Confirm or update contact information
  • Place your order
  • Your election amount will be deducted from your paycheck pre-tax and then used to reimburse you for parking costs

To get reimbursed, print a Pay Me Back form from the WageWorks website, complete it and fax or mail it with your receipts. If you do not have receipts, you can file a claim online

Changing or Canceling Your Order Online

  • Click on the Commuter tab
  • Click on the order you want to change/cancel in the Account Dashboard
  • Follow the instructions
  • Remember that the deadline for your order is the 1st of the month prior (For the May pass the order must be in by April 1st)
